A salon or clinic front desk does two jobs at once: look after the person in front of you and answer the person calling. The second one always loses, and every lost call is a booking that went to whoever picked up.
An AI receptionist takes the second job entirely. It answers on your website, Instagram, Messenger and WhatsApp, answers treatment questions from your own information, books into your real availability and takes a deposit when you want one.
The questions it should answer without you
Write down what your team is asked ten times a day. It is usually the same list:
- How much is this treatment and how long does it take
- Do you have anything this week
- Who does this treatment
- Is there any downtime or aftercare
- Do you take card, do you require a deposit
- Where do I park
All of that lives in your own material. Once it is in, those conversations stop reaching a human at all, and the phone starts ringing only for things that genuinely need a person.
Book into reality
Set up each treatment as its own service with its own duration, somewhere between 15 and 180 minutes. Assign the practitioners who perform it. Set working days and hours, the timezone, and a minimum notice that reflects your prep time.
The visitor then sees actual free slots, not a request form. They pick, they confirm, and they get a cancellation link. Easy cancellation sounds risky and is the opposite: a slot released the evening before can be refilled, an empty chair at 10:00 cannot.
Deposits change attendance
For clinics especially, no shows are the real cost. Three options cover most cases:
- Full prepayment for consultations
- A deposit, fixed amount or percentage of the treatment price
- Pay on site, when you only want the slot held
Payment runs on Stripe or Square with your own account, through their hosted checkout, so card details never touch your site or the chat. That keeps you outside the compliance burden while still protecting the diary.
Where it must stop and get you
Health and beauty involve questions an AI should never answer. Medical advice, suitability for a treatment, reactions, pregnancy, anything clinical.
Configure those as sensitive topics and trigger words so the conversation stops and alerts a human immediately. And make sure that when you reply yourself in the Instagram or WhatsApp inbox, the AI steps back and stays quiet until you are finished. An honest "our practitioner will answer that personally today" protects your reputation far better than a confident guess.
Rebookings and returning clients
The highest value automation is not new leads, it is rebooking. Every conversation should leave a contact record with the treatment, the date and the practitioner. Six weeks later that is the list you message about availability, and it converts better than any advertising you will buy.
If you run loyalty, the front desk can reference it as well, so returning clients hear about their points rather than the same generic price list.
Start with one channel
Pick the channel where you already lose the most messages, usually Instagram. Load your treatment list and prices, make two treatments bookable, and read every transcript for the first week. You will spot one wrong price and one missing answer. Fix those, then expand. Two weeks in, most salons find the front desk is handling the majority of their inbound without anyone noticing.
