Automated booking fails for one boring reason: the calendar does not match reality. Someone books a 09:00 viewing across town when you have a 08:45 meeting, or two people book the same slot, and after the second incident you turn it off.
Getting it right is mostly configuration discipline. Here is the setup that survives contact with a real week.
Define services, not a generic meeting
A viewing is not a valuation and a valuation is not a follow up call. Create each one separately with its own duration. In practice:
- Apartment viewing, 30 minutes
- House viewing, 45 minutes
- Valuation visit, 60 minutes
- Buyer consultation call, 20 minutes
Durations between 15 and 180 minutes cover everything in this business. Naming them properly also helps the AI decide what to offer: someone asking about a listing gets a viewing, someone asking what their flat is worth gets a valuation.
Set availability like a person, not a system
Three settings do most of the work:
- Working days and hours per service. You may show properties on Saturday morning but never take valuations then.
- Minimum notice. If you need two hours to get across the city, say two hours. This single field prevents most of the "impossible booking" complaints.
- Slot duration and spacing. Leave travel time between viewings. A back to back calendar looks efficient and plays out badly.
Set the timezone explicitly. Agents dealing with overseas investors learn this one the hard way.
Assign the right person
If you work in a team, assign staff per service. The junior does first viewings in one district, the owner takes valuations, the lettings colleague takes rentals. The visitor sees combined availability, and the booking lands on the correct diary with the correct notice rules.
Take payment where it protects you
Not every appointment needs money attached, but some do. Three models cover the field:
- Pay online in full, useful for paid consultations and professional valuations.
- Deposit, either a fixed amount or a percentage, which is the sweet spot for valuation visits.
- Pay on site, when you simply want the slot held.
Payment runs through Stripe or Square, connected once with your own account, on their hosted checkout. Card details never touch your site or the conversation, which keeps you out of the compliance conversation entirely.
Confirmations and cancellations
Every booking should produce a confirmation the visitor can act on, including a cancellation link. Counter intuitively, making cancellation easy improves your week: a cancelled slot at 18:00 the night before can be refilled, a no show at 10:00 cannot.
Collect a guest email at booking even for walk in style appointments. It is the difference between a booking and a contact you can follow up.
Let the AI do the scheduling conversation
Once services and availability exist, the front desk can handle the whole exchange. It answers the property question, proposes real slots, takes the booking, collects the deposit if you asked for one and confirms. On your website, on Instagram, on Messenger, on WhatsApp, on Telegram, with the same rules everywhere.
What it should never do is invent availability. If nothing fits, the honest answer is to offer the nearest real options or take the person's details for you.
Review it weekly for the first month
Read the booking transcripts. You will find three things: a service duration that is too short, a minimum notice that is too generous, and one question your material does not answer. Fix those three and automated booking stops being a source of surprises and becomes the quietest part of your operation.
